Recruiter Cover Letter Checklist

A fantastic cover letter for a recruiter position should include all the information necessary to convey your fit for the job. The following five sections ensure you cover the details while keeping the content concise and to the point.

1. Heading. Use a stylized template with a heading section that stands out. You can find free templates on Word, Google Documents, and on websites. Ensure the heading includes:

2. Salutation. If there is a name and title attached to the job posting, address your cover letter to this person, using formal language (i.e., Mrs. Smith or Mr. Smith). If there is no name on the posting, you can address it to the “Hiring Manager.” The two standard greeting options are “Dear Mr./Ms. [Last Name]” or “Dear Hiring Manager.”

3. Introduction. Your introduction should always mention the exact title of the position you’re applying for and one to two sentences about why you’re a great candidate for the role. Include an attention-grabbing statistic, example, or fact about yourself.

4. Body paragraphs. Include two body paragraphs that go deeper into why you’re the right person for the job. Make sure to pick out keywords and phrases from the job description and include them in your body paragraphs. Additionally, now is the time to dive deeper into your education, skills, or previous background as it aligns with the job posting.

5. Closing section. Conclude your cover letter with a short paragraph that reiterates:

Introduction

Your introduction needs to immediately grab the reader’s attention while also showing interest in the recruiter position. As a recruiter, you know what it’s like to sort through hundreds of applications for a position, so do your best to make the hiring manager or HR manager’s job easier. State the exact title you’re applying for within the first sentence. Include a sentence about your previous experience or a prior achievement that makes you right for this position.

It is with great interest that I apply for the Senior Recruiter position at Computers R Us. I have spent the last five years exploring the technology job force niche. In the last year, I was promoted to a Senior Recruiter role in my company and successfully hired over 200 tech employees in 12 months. I believe that my experience gives me the skills to excel in this position and be an asset to the Computers R Us team.

My name is Joanne Smith, and I am submitting my application for the recruiter role. I have been a recruiter for several years now and think I will make a great addition to your team.

Body Paragraphs

Your body paragraphs are an opportunity to align yourself with the job posting. In the first paragraph, review the posting and make sure you’ve picked out 3-6 keywords and phrases to highlight. Be specific and include details, examples, and statistics when relevant.

In your second paragraph, explain why you’re excited about the company and the role. This is the opportunity to explain what drove you to apply for this position.

In my eight years of recruitment experience, I have progressed into progressively senior roles. Specifically, in the last few years of my career, I executed the following:

An excellent closing statement should truly wrap up the entire cover letter and end with a follow-up request. It should also take a moment to thank the reader for spending their time reviewing your application. For an added flourish, include a postscript that features one final accomplishment to end it on a high note.

I know that the values held by Computer R Us align with mine, and I would be thrilled to be a part of the company. Thank you for taking the time to review my cover letter and resume and consider my application for this Senior Recruiter role. Step 1: Knowledge is power

Oh, how many generic letters get tossed aside with a sigh. But you want yours to dazzle, and the quickest means to that end is tailoring your cover letter to the  recruiter job listing . Your cover letter shouldn’t read like it could apply to any recruiter position: You want the company to know that you want to work for  them .

A great start is taking some notes while combing through the job description. Jot down anything you find that makes you think, “That’s me!” so that you’ll have a handy list to refer to once you start writing your first draft. Look for specific needs you can fill. Not to sound like a broken record—but, once again, referring to the company website and job description will help you. Does the company come across as corporate and formal? Or is it more laid-back, emphasizing employee familiarity and a creative work environment? Company culture is your key to nailing the right tone.

What you say is important, but  so is  how  you say it .

Ensure your overall message is ideal, too—even if that means switching out an accomplishment that isn’t as relevant as you first thought. Your letter should be no more than a page and should send the message that you already know the company’s job role and exactly how you’ll fit in. Don’t skimp on proofreading, editing, revising, and rewriting to get this right.

How to write your recruiter cover letter

Body:  Your cover letter’s body should include 3-4 paragraphs that show your interest in the recruiter position, your credentials that make you the ideal hire, and your excitement for future contact.

Opening paragraph:  Many cover letters run together with nothing that makes them stand out. Make sure yours isn’t one of them by putting in the effort to make it unique to the job position and company!

I love video games. Especially arena games. And I’ve worked as a recruiter for other companies before, so I’d fit in well with you guys.

Why It’s Bad:  While leading with a personal connection is good, this applicant over-stresses the gamer aspect at the expense of their qualifications—where are those? Also, the company culture is laid-back, but this tone takes informality too far.

With 6 years of well-rounded experience as a recruiter—and gamer—plus a background of rapid growth fueled by my finance degree and knack for managing high-volume interview funnels, I would love to use my overarching communication and strategy skills as your senior recruiter to set the roadmap for successful, inclusive hiring. I pride myself on being inquisitive and would love to help Electronic Arts by recruiting top talent to provide games, online services, and worlds with infinite possibilities. 

Why It’s Good:  This applicant has a lot of info to cover in a limited space for a senior role! They make a quick mention of their gaming connection and then move on to the skills that qualify them for the job, wrapping up with a direct reference to the company’s mission statement. Perfect! 

Paragraphs 2-3:  Now’s the time to show that your opening paragraph wasn’t full of empty claims! Use this space to provide examples of your best accomplishments, keeping each section focused on a single achievement.

You don’t have much room, so stick to that one time you drastically improved time-to-hire or that prestigious strategy overhaul you led multiple departments through.

While documenting employee data and feedback, I couldn’t shake the feeling that there was room for improvement. So, I researched and fine-tuned a new employee benefits package that improved current employees’ satisfaction by 8%—and then I pushed things further by creating and streamlining data management plans inspired by my educational background. These infrastructures optimized employees’ processes and boosted satisfaction rates by 14%. 

Why It’s Good:  Taking the opportunity to demonstrate growth within your career is smart! This one’s a winner for highlighting various skills and two metrics that come together to further the same core goal, maintaining the paragraph’s focus while demonstrating ambition and versatility.

Closing paragraph:  It’s time for your grand finale! Summarize how your qualifications and values align with the needs specified in the job listing and the company’s vision statement. Finally, provide a call to action that blends seamlessly with the rest of your paragraph and invites further communication.

Why It’s Bad:  The choppy sentence structure is informal, abrupt, and disinterested. We also see a lack of detail and an indifferent call to action.

A cover letter is a brief letter of introduction that usually accompanies a resume. It’s a prime opportunity to introduce yourself, highlight your skills, accomplishments, and goals, and explain what you hope to bring to the company if hired.

One major benefit to including a cover letter in addition to your resume is the opportunity to elaborate and provide more information that may not be as easily conveyed in a resume’s typical bullet-point format.

Keep in mind that addressing your letter to “Sir or Madam” isn’t likely to make a great first impression. The impersonal greeting feels generic and may send the wrong message that you’re using the same letter for multiple employers without taking the time to personalize each one.

While a neutral “ Dear Hiring Manager” or similar phrase is acceptable instead of a name, consider mentioning the company and/or department to make it a little more personalized.

A strong opening is imperative. If you don’t catch a hiring manager’s attention in the first couple of sentences, they aren’t likely to continue reading.

Start your cover letter by announcing your application to the position and following it with an impactful achievement. Numbers and statistics are particularly eye-catching, so if possible, quantify your accomplishment with percentages or dollar amounts.

Note that the applicant in the example didn’t rely on market buzzwords and empty, generic claims; she gave exact numbers to demonstrate her years of experience, the size of the team she managed, and the number of new employees she recruited. This technique is much more likely to grab the reader ’s attention.

If your opening hook did its job, you now have a hiring manager’s undivided attention, but now you need to keep it. To prove that you’re the ideal candidate for the position, you need to explain:

Why you want this job

The skills that qualify you for the specific requirements of the job

Why you are the perfect fit for the position

It’s not uncommon for less qualified applicants to waste their main pitch listing out their general skills and accomplishments that have nothing to do with the specifics of the job listing. Clearly, those candidates didn’t do any research on the position.

But you know better — rehashing the bullet points on your resume without providing any additional insight is not going to impress a recruitment manager .

You need to demonstrate that you fully understand what’s expected of you in this job position, then directly tie your skills to the company’s needs to prove that you are the best candidate for the job .

My primary goal is to optimize the screening process for quality and efficiency to ensure the best candidates are recruited, and I’m especially interested in the culture, innovation, and potential for future development with Big Global Company. By this point, your content is looking good, but now isn’t the time to drop the ball and leave your great pitch hanging. You need to carry that momentum through the finish line with an equally strong closing to ensure that you leave a lasting impression.

Note that instead of simply saying “ Thanks for your time ,” the applicant wrapped up her closing in a way that demonstrates her knowledge, enthusiasm, and genuine desire for the company’s success.

59% of job seekers who used ChatGPT to write cover letters were hired. Should recruiters be alarmed?

ChatGPT, an interactive AI tool  launched by Microsoft, has been sweeping the nation with its seemingly limitless communication capabilities. It's now infiltrating the workforce, as job applicants use it to write resumes and even cover letters. But is this going too far? Recruiters have split opinions. 

A recent report from resume template service ResumeBuilder found that 46% of applicants are actively using ChatGPT to write their resumes and cover letters. And the results were overwhelmingly positive — 78% secured an interview when using application materials written by the AI and 59% were eventually hired. 

"Most people really don't know how to make a resume or write a cover letter on their own in a very effective way," says Stacie Haller, the chief career advisor with ResumeBuilder. "So this is a much better alternative than doing nothing at all."

Yet with most things that involve AI, applicants can't just rely on the tech alone. Forty-nine percent of users said they had to at least do 'a little bit' of editing to the resumes or cover letters they received from ChatGPT, and only 11% reported not having to do any editing at all. Overall, three  in four job seekers said the materials written by ChatGPT were 'high' or 'very high' quality.

As companies debate expanding their tech stack and investing more in emerging technologies such as VR and the metaverse, ChatGPT has a place in the conversation too, says Haller.  And so far, employers seem to be on board: 58% of job seekers said they were not denied a job even when the interviewer was aware they used ChatGPT.

Haller says HR leaders are already aware that employees may be getting a little help on job applications. Now, the process is just more evolved.

"I've been a recruiter for many years and I know when I'm looking at a resume that wasn't necessarily written by the person applying," Haller says. "I already know that it's the interview process that's going to help me determine who I want to hire." 

But despite the positive feedback from some, there are still those who urge job seekers and recruiters to proceed with caution when it comes to using the new tool regularly, including Robert Boersma, the head of sales strategy at job insight platform Talent.com.

"It's not that we disagree that candidates cannot use ChatGPT to successfully create resumes and cover letters," he says. "Although AI platforms are great for saving time and picking up keywords that can be recognized by applicant tracking  systems, they can not speak to unique human experiences and the complexities of our personalities. Make sure you come across as you."

As progressive as AI platforms can seem, bots can't come up with new informatio n — rather, they work off of pre-existing data. In ChatGPT's case, a user would first submit a job description and their resume and ask the platform to draft a cover letter using the provided information. From there, the AI platform uses its own data to craft the piece of text. However, there is a risk that more than one candidate ends up with similar resumes or cover letters if the information input is left too vague.

"Similar questions will yield similar results," Boersma says. "Recruitment materials are supposed to set candidates apart, so the last thing someone should want is to blend in with other applicants or appear unoriginal." 

But that begs the question: how much does a wholly original or unique resume truly help candidates in the long run? In a world where recruiting strategies are ever-changing, the traditional job application process is becoming less critical, and some companies have ended interviews altogether. Haller says ChatGPT is just a new strategy for job seekers , who have always looked for shortcuts.

"I work for ResumeBuilder and we've always had free templates online for somebody else to put together," she says. "That's why I'm taken aback by everybody jumping all over this. This is just today's version of a resume writer and a job seeker is just using new technology to do it." 

Although significantly smaller than those who found success, 11% of users were denied a position at a company when the interviewer discovered they used ChatGPT, meaning that there is still apprehension from recruiters and hiring managers. But a little hesitation won't change the fact that this isn't the end of AI use in recruitment. A recruiter's best bet may be simply to adopt both mindsets — to embrace the new tech tools being made available to employees, while doing so responsibly. 

"A resume and a cover letter does not get you a job — all it does is get you an interview," Haller says. "Nobody hires you based on just a resume and a cover letter, but what if ChatGPT could get you through the door?"

I don’t offer candidates a cover letter template because it’s essential that the letter not sound insincere or formulaic. The letter should be authentic and, if signed by you, in your own voice. If you use the same cover letter to apply for multiple positions, at least tweak the text for each employer and re-read each version in full before sending. It’s easy to spot a non-tailored letter — this conveys laziness and disinterest.

Crafting a great cover letter starts with preparation . You want to be clear on what the letter is trying to achieve before you write it.

A recruiter can help you decide which information is appropriate for a cover letter and which is not. Be sure to give your recruiter all the information and trust them to guide you. (If you don’t trust your recruiter, get a new one.) If you need visa sponsorship, you cannot start a new job within the next month or two, or you have any other complications to your job search, let your recruiter know upfront.

Will a good cover letter really move the needle? Realistically, it may only make a difference to a small percentage of applications. But why not give every job application your best shot?

An employer says she caught a job seeker applying for a role with a ChatGPT cover letter, but it lacked personal information and cost them the job.

Mandy Tang, a career coach and business owner, said she received an application for a part-time résumé writer role around five minutes after she posted the job on UpWork, an online freelancing platform. 

Although she hadn't requested a cover letter, the job seeker sent her one. At first glance, Tang said they looked like a perfect fit for the role. 

"The letter was really well-formed, incredibly well-written, and had literally everything I wanted," Tang told Insider. "But then I looked closer and realized it was just a copy and paste of everything I had put in the job description."

She said she noticed the letter even appeared to have lifted some of her own experience: "There was a part in the job description where I had said things like, 'I have run a business for five years,' and then the cover letter also said 'I have run a business for five years.'"

Tang said she had heard of job seekers using OpenAI's ChatGPT  and suspected the letter might have been AI-generated. She asked the chatbot to write her a cover letter based on the job description, and the results were "word-for-word the same." 

Based on her findings, Tang said she believed the candidate had put the job description through ChatGPT. "I just thought it was wild," she said.

Tang said she didn't take issue with job seekers using the technology in general but was shocked the candidate hadn't appeared to edit the letter or add much personal information. 

When tested by Insider, one popular AI detector concluded the text was "likely" written by an AI. OpenAI's AI classifier  said the text was "possibly" AI-generated.

Tang didn't follow up with the candidate, citing the nature of the role, a lack of personal information, and language that too closely mimicked the job description. 

"I thought of responding to them," she said. "But I just moved on and hired three really great people who were actually qualified  — this person was probably qualified too, but I wouldn't know it from the cover letter."

Tang documented her experience in a TikTok clip, which has attracted more than 1.8 million views. 

ChatGPT has proved popular with job seekers for its ability to write cover letters, with many users demonstrating the results on TikTok. Recruiters previously told Insider that although some AI-generated letters could pass for real candidates, they tended to lack personality.

However, job seekers may soon be deterred from using the technology. Robert Boersma, the vice president of operations at Talent.com, said these AI-generated letters are already becoming easier to spot.

"If your cover letter is using technical words, broad statements that lack depth and personality, is structurally sound but lacks minute details, it's highly likely that the recruiter will be able to tell that it is an AI-generated cover letter," he said.

As AI platforms gain popularity, there is also an increased likelihood of candidates generating letters with the same structures, Boersma said. Recruiters can easily use tools that check for the presence of AI and candidates who are caught out risk losing the job over a perceived lack of effort, he added. 

Candidates also run the risk of misrepresenting themselves if they rely too heavily on AI. "As these tools draft responses based on provided information it is possible that generated text aligns with the job description but not with your personal values and beliefs," Boersma said.

Tang, on the other hand, encouraged candidates to use them as a starting point for their applications. 

"Make sure you pull in your own personal information," she said. "You need to proofread it and you need to use it as a starting ground, you can't just copy and paste it."

CHICAGO — Army recruiters struggling to meet enlistment goals say one of their biggest hurdles is getting into high schools, where they can meet students one on one. But they received a recent boost from a recruiting advocate whom school leaders couldn’t turn away: the secretary of the Army.

During three days of back-to-back meetings across Chicago last month, Army Secretary Christine Wormuth spoke with students, school leaders, college heads, recruiters and an array of young people involved in ROTC or junior ROTC programs. Again and again, she asked, what can the Army do to better reach young people and sell itself as a good career choice.

In blunt sessions, recruiting leaders told her they need more and better access to high school students. But they also said the atmosphere can at times be unfriendly — or worse — with school leaders, many of whom are skeptical that the Army offers a good career option for their students. “I’m going to use the word hostile,” one recruiter told her. “There’s no other word to use.”

It’s not unusual for the Army’s top civilian to travel the country, pitching the Army message and checking in on recruiting progress. But the Chicago trip came on the heels of the Army’s worst recruiting year in recent history, when it fell 25% short of its 60,000 enlistment goal. It’s up to Wormuth and other Army leaders to find creative new ways to attract recruits and ensure that the service has the troops it needs to help defend the nation.

All the military services are struggling to compete for young people in a tight job market where private companies are often willing to provide better pay and benefits. Two years of the coronavirus pandemic shut down recruiters’ access to public events and schools where they could find prospects. And, according to estimates, just 23% of young people can meet the military’s fitness, educational and moral requirements, with many disqualified for reasons ranging from medical issues to criminal records and tattoos.

Army leaders say their surveys show that young people don’t see the Army as a prime career choice, often because they don’t want to die or get injured, deal with the stress of military life or put their lives on hold. Advertisement

What Wormuth heard in her Chicago sessions was a litany of challenges, from the issue of school access and competition with colleges to confusing Army websites, limited social media and a general lack of public knowledge about the jobs and opportunities that military service can provide.

In a meeting with Pedro Martinez, the chief executive for Chicago’s public schools, Wormuth noted the recruiters’ frustrations and she pressed for answers on how to fix things.

Martinez agreed that when recruiters try to work with individual schools, and a new recruiter comes in or a counselor leaves, “there’s not always a warm handoff.” He suggested working with the central district office instead.

Swiveling to Lt. Col. Shane Doolan, the recruiting battalion commander for Chicago, Wormuth asked if the team deals well with the central office.

“No, we really don’t have a relationship. And that’s what we’re working on here,” Doolan replied, adding that two years of COVID-19 restrictions hampered those efforts. He also said recruiters found a lack of understanding about the Army.

Doolan and other recruiters told Wormuth that they face resistance from teachers’ unions and school board members who don’t see the value in offering students the military as a career option. In some cases, school officials view the military through a post-Vietnam era lens. Advertisement

Martinez and other school officials acknowledged there is a knowledge gap, but added that for security reasons, principals and counselors are cautious about who gets access to their schools and students.

They also warned that a recruiter who is good at speaking to students may not be as prepared to deal with school leaders. Recruiters, they said, must be able to explain the benefits of military service to those who are gatekeepers to the students.

High school access isn’t the only hurdle.

Speaking with college leaders, Wormuth stressed that the Army should not be viewed as their competitor for young people.

“The Army is facing a recruiting challenge. That’s what brought me here,” Wormuth told a large group of college presidents and leaders at the University of Illinois Chicago. But, she added, “it doesn’t have to be a choice for kids between the Army and college. Some kids benefit from a little time doing something else.”

In some cases, she said, soldiers return to college after serving, or while continuing to serve, and are better prepared to be good students. Advertisement

Students offered their own views.

In small sessions with members of the Reserve Officers’ Training Corps (ROTC) and the junior ROTC, students laid bare the gaps the Army must bridge to attract others in their generation. They said young people don’t know the benefits offered by Army service, which include a wide array of career choices or free college tuition. They said students have little exposure to service members and that for every positive mention of the military or the Army online, there are five negative ones.

Gathered around tables and in their uniforms, they spoke glowingly about their ROTC experiences: the camaraderie, the support, the leadership skills they get and the confidence they build.

But all too often, they said, their friends question their choices, and, as one said, “assume I’m going to war.” Some noted that at times their parents are reluctant and had concerns about their safety.

In a crowded auditorium at Whitney M. Young Magnet High School, Wormuth came face to face with those perceptions. Young students peppered her with questions about sexual assaults in the Army, homeless veterans and the use of the military during racial unrest after the police killing of George Floyd.

Flying home after three days jammed with such sessions, Wormuth said the questions from the Whitney Young students, along with similar issues raised in other meetings, reinforce the need for the military to solve some it its more difficult problems. Advertisement

“They asked about sexual harassment. They asked about, are they going to be safe? They asked about barracks, in addition to wanting to know what the benefits are,” Wormuth said. “That, to me, underscores the importance of us finding ways to solve those problems. Those are real issues and the market research we’ve done speaks to that.”

She said that she and Gen. James McConville, the Army chief of staff, realize it will take time to fix the recruiting shortfall.

“I don’t think we’re going to build back our recruiting numbers to the level that Gen. McConville and I would feel comfortable with in one year,” she said.

Maj. Gen. Johnny Davis, head of Army Recruiting Command, said some new incentive programs are already working and enlistment numbers for recent months are higher than last year.

Army leaders are pinning their hopes on a new advertising campaign that will launch this week and bring back a tried and true Army slogan from the 1980s: “Be all you that can be.”

In the Whitney Young auditorium, Wormuth said the slogan speaks to the variety of careers the Army offers.

“If coding is your thing, we have a place for you in the Army,” she told the students. “If jumping out of planes or helicopters is your thing, or if you’d rather fly them, you can become an aviator or go airborne in the United States Army. If you want to speak different languages and travel the world, you could become a linguist or a foreign country expert in the army. ”

And, she added, if hip hop is their passion, they can become an Army rapper, since two vocalists just joined the Army band of rappers.

“People remember people who take risks and try to do something in service of something bigger than themselves,” she told the classes. “People remember those who choose to be all that they could be.”
