Microsoft PowerPoint for Windows

Microsoft’s slideshow and presentation software

Microsoft PowerPoint is a powerful and reliable slideshow presentation program that you can download both as a standalone aPowerPoint or part of the Microsoft Office productivity suite. Over the years, PowerPoint has always been the go-to software used to illustrate ideas, reports or lectures in front of an audience. The program offers an impressive variety of tools and features that allow users to create professional looking presentations, such as slide layouts, text formatting options and multimedia graphics.

PowerPoint is a useful aid for students , businesses or hobbyists to showcase concepts to an audience through a visually rich presentation. One of its key features is its intuitive interface, offering a very short learning curve that makes PowerPoint a great choice for both beginners and professionals. Even though we can find many exceptional free alternatives such as Google Slides , Keynote or Canva , Microsoft PowerPoint is still the number one download choice to make a slideshow presentation. Do you want to know why?

What key features does Microsoft PowerPoint bring?

Microsoft PowerPoint is an essential tool to create a slideshow presentation for both professionals and students alike. One of its main strengths is its user-friendly interface , which makes it very easy to use no matter how much previous experience the user has in these types of programs. PowerPoint includes a wide variety of templates , slides , shapes , rendered models and icons that can be customized from top to bottom, making it very easy and fast to create the perfect presentation.  And what if you can’t find any of the presets that you like? Don’t worry, PowerPoint lets you download more resources to embellish your presentation.

If you don’t like using templates, PowerPoint also lets you create any slide from scratch .You can add any kind of multimedia file you have stored in your computer to aid your presentation, whether they are images, videos or audio files. With a wide selection of text formatting options, there’s no limit to what you can do on any given slide. This helps not only bring your presentations to life but also engage with your audience and make any lecture more dynamic and appealing.

Another important part of any presentation is sharing the material with the audience and thankfully, that’s very easy if you’re using PowerPoint. You can save or export to multiple formats apart from its proprietary PPT filetype, for example as a universally accessible PDF. The software includes the option to save all slideshows to the cloud using OneDrive or SharePoint . If you don’t like using the cloud, you can always email the file from with the PowerPoint interface or share it through social media with just a click. Sharing a slideshow was never easier!

What’s new in PowerPoint 2021?

With the arrival of Windows 11 , the whole Office productivity suite has been revamped bringing a new design to all its tools. Thinking of upgrading to PowerPoint 2021? Before you download the program, you might want to know what new features await you. Here’s a breakdown of the most important changes of the latest iteration of PowerPoint.

How does Microsoft PowerPoint work?

Creating a presentation with PowerPoint is very simple and intuitive. Simply select a theme or a template from the software’s library and add text, images or other media items to the slides. If you prefer, you can start your slide from scratch and select the overall color, font size or display that suits your needs. Thanks to its wide array of formatting options, you can customize each slide however you like. Need to make a change? Don’t worry, with PowerPoint switching the overall look of every page is as easy and quick as it is to create it in the first place.

In addition to creating slides, PowerPoint also lets you make your presentation more dynamic by adding animations and transitions . You can choose from a wide variety of them, including classics such as fade, wipe and dissolve. If you want to add an extra punch to your slides, you can also add special effects such as 3D animations and morphing effects  This will make any slideshow much more appealing to the general audience and engage with the message you’re trying to transmit.

Can I download PowerPoint for free?

No, you can’t. Microsoft PowerPoint is a paid software and you can only download it if you own a standalone product key, a Microsoft Office license or you’re paying for a Microsoft 365 subscription. It’s not all bad news though. If you want to use PowerPoint, you can use its online version for free . The only thing you’ll need to do is set up a Microsoft account, and thankfully that’s free as well.

To use the online version of PowerPoint you’ll have to access Office Online through its official website . Once you get there, just sign in to your Microsoft account and click on the PowerPoint tool. While PowerPoint online includes many of the tools and features of its desktop version, it is a much more simple version of it . You won’t find many of PowerPoint’s format options or advanced tools. However, it’s a great option for anyone that needs to create a basic slideshow but can’t afford to pay to download PowerPoint.

Turn any idea into an impressive slideshow in seconds

Microsoft PowerPoint sets a standard when it comes to creating captivating presentations . With it, anyone can make intangible ideas into communicable presentations in little time, all thanks to its powerful built-in tools. Its latest iteration adds interesting features like an improved recording system or the ability to collaborate with other users just by sending a link. Whether for educational, informative, professional or entertainment purposes, you can’t go wrong with Microsoft PowerPoint .

It’s OK but difficult to use on the phone

I really like Microsoft products however when you’re trying to type on the small keyboards that you have with your phone. You really lose out on accuracy and sometimes because of the size of your fingers you may press the wrong button’s and so forth. However if you got the time you could probably do some productive work on an app like this but it’s not something that’s going to happen very quickly. And also sometimes some of the functions that are easier to get to on the full program seem like they’re either not on this program or hard to get to because of the number of menus that you have to go through. Nevertheless it is worth it to have this program the more programs a person has the more options they have so I do like the program overall however there is a certain curve that you have to get over.

Feels like a downgrade

I grew up with MS Office products, and I have always been a solid advocate of it. But I have to say that Power Point has been a let down so far, when it comes to using it on iPad. I have been dealing with the same problem, for several years now, reported it three times, and no has responded et alone fixed the problems/bugs: (1) On iPad Pro, converting PPT files to PDF is near impossible, when it comes to moderately sized PPT files (ie with a moderate load of images). It simply doesn’t convert. (2) Loading files that are already stored on the iPad takes forever, or is play do not reopen sometimes, and the system keeps trying and trying to open the file in what seems like forever. This problem seems to be less persistent when WiFi is turned off, but then that defies the whole point of being able to use many of the functionalities that are otherwise only available when you’re connected online. I am still a big fan/supporter, and only use Power Point for my presentation work, but I have to say that something’s got to give, eventually, f they don’t address such issues.

SAVE YOUR $$ IF FOR YOUR IPAD 2021+

Firstly, I love Microsoft Window products. I purchased this brand new iPad for my class, and I needed MS Word and MS PowerPoint. I jumped on to make my first PP presentation and I figured it out. With the IPad OS even if you hover over a feature it still doesn’t tell you what it is. So, I have to tap n learn. Thankfully, I have muscle memory using windows based platforms and PP, but that is another discussion. Secondly, I made my presentation, saved it, and went to pull it up later. I saved it in OneDrive and on the IPad. No can do! Neither file would open up for me. I started hunting around the internet and this seems to be a common issue with the iPad and MS PP. Once again, both are the latest versions. So, I will use my old HP and bang out another PP and hope my six year old laptop holds out for another couple of months. Meanwhile, this latest and greatest ipad cannot support this MS platform. I know. Different software, not meant to run on iPad. Well, maybe Apple shouldn’t allow it to run, or maybe MS should fix it to RUN on Apple. I know both of these companies have employees going to work for each other. Save your money if you are thinking about MS PP for your ipad.

The best presentation software in 2022

These powerpoint alternatives go beyond the basics..

Hero image with logos of the best presentation software

The latest presentation apps have made it easier than ever to format slides and create professional-looking slideshows without giving off a "this is a template" vibe. Even standard PowerPoint alternatives have updated key features to make it easier than ever to collaborate and create presentations quickly, so you can spend more time prepping for your actual presentation.

If, like me, you've been using Google Slides unquestioningly for years, it's a whole new world out there. The newest crop of online presentation tools go way beyond the classic slideshow experience, with new features to keep your audience's attention, streamline the creation process with AI, and turn slide decks into videos and interactive conversations.

I spent a lot of time testing the top presentation software solutions out there to bring you the best of the best.

What makes a great presentation app?

How we evaluate and test apps.

All of our best apps roundups are written by humans who've spent much of their careers using, testing, and writing about software. We spend dozens of hours researching and testing apps, using each app as it's intended to be used and evaluating it against the criteria we set for the category. We're never paid for placement in our articles from any app or for links to any site—we value the trust readers put in us to offer authentic evaluations of the categories and apps we review. For more details on our process, read the full rundown of how we select apps to feature on the Zapier blog .

When looking for the best presentation apps, I wanted utility players since slideshows are used for just about everything, from pitch decks and product launches to class lectures and church sermons. With that in mind, here's what I was looking for:

Pre-built templates. The best presentation tools should have attractive, professional-looking templates to build presentations in a hurry.

Sharing and collaboration options. More people are working remotely. Whether you plan to share your webinar slides later, or you just want to collaborate with a coworker on a presentation, it should be easy to share files and collaborate in real-time.

Flexibility and customization options. Templates are great, but top presentation apps should enable you to customize just about everything—giving you the flexibility to build exactly what you need.

Affordability. Creating compelling presentations is important, but you shouldn't have to bust your budget to make it happen. With capable free tools on the market, affordability is a top consideration.

Beyond that, we also looked for presentation apps that brought something unique to the table, like video presentations or AI design—features above and beyond what you can get for free from a legacy solution like PowerPoint or Google Slides.

Here's what my testing workflow looked like:

I went through any onboarding or guided tutorials.

I created a new deck, scanning through all available templates, noting how well-designed they are (and which were free versus paid).

I added new slides, deleted slides, edited text and images, and played around with other content types.

I changed presentation design settings like color schemes and background images.

I reviewed and tested the sharing and collaboration options.

I tested out presenter view (when available).

After my first round of testing, I went back into the top performers to test any unique or niche features like AI, brand settings, interactive content, and more. With that, these are the best presentation apps I found—each one really brings something different or radically easy to the table.

Already have slides and want a great way to share them instead? Here are the best apps to share presentations .

The best free presentation software

Canva (Web, Windows, Mac, Android, iOS)

Canva, our pick for the best free presentation app

Canva offers one of the most robust free plans of all the presentation apps I tested. The app delays account creation until after you've created your first design, so you can get started building your presentation in seconds. Choose from an almost overwhelming number of beautiful templates (nearly all available for free), including those designed specifically for education or business use cases.

Anyone who's accidentally scrolled too far and been bumped to the next slide will appreciate Canva's editor interface, which eliminates that problem altogether with a smooth scroll that doesn't jump around. Choose from a handful of preset animations to add life to your presentations, or browse the library of audio and video files available to add.

Canva recently added a number of new options for sharing your presentation, including adding collaborators to your team, sharing directly to social media, and even via QR code.

Present directly from Canva and let audience members submit their questions via Canva Live. Once you share a link to invite audience members to your presentation, they can send questions for you to answer. As the presenter, you'll see them pop up in your presenter view window, so you can keep the audience engaged and your presentation clear.

Canva pricing: Free plan available; paid plans start at $119.99/year for up to 5 users and include additional features like Brand Kit and premium templates and stock assets.

The best presentation app for AI-powered presentations

Beautiful.ai (Web, Mac, Windows)

If you're like me, editing granular spacing issues is the absolute worst part of building a presentation. Beautiful.ai uses artificial intelligence to take a lot of the hassle and granular design requirements out of the presentation process, so you can focus on the content of a presentation without sacrificing professional design. Look at the GIF above as an example: when you drag an element toward a specific area of the slide, it'll automatically drop it into place for you.

The editor is a little different from most presentation apps, but it's still intuitive—and you'll start off with a quick two-minute tutorial. When creating a new slide, scroll through "inspiration slides" to find a layout you like; once you choose, the app will pull the layout and automatically adapt it to match the design of the rest of your presentation.

With 10 themes, several templated slides, over 40 fully-designed templates, and 23 different color palettes to choose from, Beautiful.ai strikes a perfect balance between automation and customization.

While traditional collaboration features are limited on the free plan, paid plans are reasonably priced and offer sharing and collaboration options that rival collab-focused apps like Google Slides. And speaking of Google, you can connect Beautiful.ai with Google Drive to save all your presentations there.

Beautiful.ai pricing: Plans start at $12/month for unlimited slides, revision history, viewer analytics, and more. Upgrade to a Team plan for $40/user/month to get extra collaboration and workspace features and custom brand controls.

If you're looking for an AI presentation tool, Slidebean is another great option for startups. The app offers a number of templates; a unique, content-first outline editor; and AI design help that you can toggle on or off for each slide. I didn't include it on the list mainly because of the price: the free plan is quite limited, and the paid all-access plan starts at $29/month.

The best presentation app for conversational presentations

Prezi (Web, Mac, Windows, iOS, Android)

Prezi interface

Struggling to squeeze information into a basic, linear presentation? Give Prezi a try. Unlike nearly all other presentation apps on the market, Prezi Present doesn't restrict the structure of your presentation to a straight line. The editor focuses on topics and subtopics and allows you to arrange them any way you want, so you can create a more conversational flow of information.

With the structural flexibility, you still get all the same customization features you expect from top presentation software, including fully-editable templates.

Plus, Prezi comes with two other apps: Prezi Design and Prezi Video. Prezi Video helps you take remote presentations to a new level. You can record a video where the presentation elements are displayed right over your webcam feed. Record and save the video to share later, or connect with your video conferencing tool of choice (including Zoom, Microsoft Teams, Google Meet, and more) to present live.

Prezi pricing: Free 14-day trial and a free plan that includes up to 5 visual projects; paid plans start at $15/month.

The best presentation app for video presentations

Powtoon (Web, iOS, Android)

Powtoon makes it easy to create engaging videos by orienting the editor around a slide deck. Editing a Powtoon feels just like editing a presentation, but by the time you finish, you have a professional video.

You can edit your slides at any time, and when you hit play, a video plays through your deck—the feel is almost like an animated explainer video. Each slide includes the animations you choose and takes up as much time as is needed based on the content on the slide. Powtoon figures the timing automatically, and you can see in the bottom-right of the editor how much time is used on your current slide versus the total presentation. If you ever want to present as a slide deck, just toggle between Slideshow and Movie.

You'll likely need to subscribe to a paid plan to get the most out of Powtoon—like creating videos longer than three minutes, downloading them as MP4 files, and white-labeling your presentations—but doing so won't break the bank. Plus, you'll unlock tons of templates complete with animations and soundtracks.

One of my favorite Powtoon features is the ability to orient your video: you can choose horizontal orientation (like a normal presentation) or opt for vertical (for mobile) or square (for social media). When your presentation is ready, you can publish straight to YouTube, Wistia, Facebook Ads, and any number of other locations.

Powtoon pricing: Limited free plan available; paid plans start at $20/month and include white-labeling, priority support, additional storage, and more.

The best presentation app for interactive presentations

Genially (Web)

Genially, our pick for the best presentation app for interactive presentations

While many presentation apps are built for presenter-led decks, Genially 's interactive features and animated templates make it easy to build a self-led presentation. A variety of interactive buttons allow you to show viewers additional context on hover, have them skip to any page of your deck, and let them navigate to external links.

This presentation program offers a bunch of searchable templates, including some for business proposals, reports, social media presentations, and more (though most of those are available on premium plans only). Genially also includes Smart blocks —templated blocks of content for elements like data visualizations, image galleries, and more.

My favorite feature is the brand settings. Premium users can set universal branding guidelines that include your logo, color scheme, fonts, images, backgrounds, and more. Think of them like a custom template, created and customized by you, that the whole team can use. Once set, your team can easily create on-brand presentations that automatically apply your brand settings, without even thinking about it.

Plus, Genially supports additional content like training materials, infographics, interactive images, and more—all subject to your brand presets.

Genially pricing: Free plan available with unlimited creations and views and access to templates; paid plans start at $7.49/month and include additional download options, privacy controls, offline viewing, premium templates, and more.

The best presentation app for collaborating with your team

Pitch (Web, Mac, Windows, iOS, Android)

Pitch, our pick for the best presentation software for collaborating with your team

Need to collaborate on presentations with your team? Pitch is a Google Slides alternative that gets the job done. As far as decks go, Pitch includes all the beautifully-designed templates, customizability, and ease of use you expect from a top-notch presentation tool. But the app really shines when you add your team.

The right-hand sidebar is all about project management and collaboration: you can set and update the status of your deck, assign entire presentations or individual slides to team members, plus comment, react, or add notes. Save custom templates to make future presentations even easier and faster.

You can also invite collaborators from outside your company to work with you on individual decks. And if you opt for a paid plan, Pitch introduces workspace roles, shared private folders, and version history.

The "Go live" feature is a personal favorite—with just a click on the headphones icon in the top right, you can start a live video call. Any team members who open the presentation can hop in and collaborate in real-time.

Pitch pricing: Free plan offers unlimited presentations, custom templates, and live video collaboration; paid plans start at $8/user/month for additional workspace features, presentation analytics, and more.

The best simple presentation app

Zoho Show (Web, iOS, Android, Chrome)

Zoho Show, our pick for the best simple presentation app

If you're looking for a simple, yet capable presentation app that's a step up from Google Slides, Zoho Show is a great option. It's completely free to use, offers a clean, intuitive editor, and includes a number of templates.

Templates are on the basic side, but they boast a more modern and professional design than much of what Google Slides or PowerPoint offer. And I love that you can set the font and color scheme for the whole template, right from the start.

The app doesn't skimp on collaboration or shareability either. You can invite collaborators via email or shareable link, and comments and version history make it easy to work together on presentations. Once you're ready to share, you can even broadcast your presentation to a remote audience right from within Zoho.

Plus, you can one-click lock slides to prevent any more editing or hide individual slides to customize your presentation for different audiences.

Zoho Show price: Free

What about the old standbys?

You might notice a few major presentation players aren't on our list, including OGs Microsoft PowerPoint, Apple Keynote, and Google Slides. These apps are perfectly adequate for creating basic presentations, and they're free if you have a Windows or Mac device or a Google account.

I didn't include them on the list because the presentation space has really developed in the last several years, and after testing them out, I found these behemoths haven't kept pace. If they weren't made by Microsoft/Apple/Google, I might not even be mentioning them. They're pretty basic tools, they're behind the curve when it comes to templates (both quantity and design), and they don't offer any uniquely valuable features like AI, robust team collaboration, branding controls, video, and so on.

If you're reading this, you're probably looking for an alternative that allows you to move away from one of the big 3, and as the presentation platforms featured above show, there's a ton to gain—in terms of features, usability, and more—when you do.

15  Microsoft Sway

best presentation software - sway

Microsoft has its own alternative to PowerPoint — Sway.

This online presentation software is completely different from PowerPoint and introduces a new concept of building "Sways" instead of "presentations."

Sway is free to use for anyone who has a Microsoft account.

It's super easy to use Sway and kind of fun too. It has a non-traditional storyline editor, which lets you add "blocks" of content that the software configures into layouts.

best presentation software - sway storyline editor

Sway is mostly for people who don't want to spend too much time designing a complex presentation. For example, students and nonprofit organizations.

There are several templates for different purposes, such as photo slideshows, sales trainings and even personal portfolios.

You can upload your own media or search from various sources inside Sway, including Flickr and Bing Images. There are no shapes and icons included.

You can upload videos from your device or embed from YouTube.

You can add audio to Sway by uploading or dragging and dropping the audio file onto your storyline from your computer.

You can embed images, videos, maps and other content from tons of websites, including Google Maps, Soundcloud, Twitter, Facebook and more.

Sway automatically adds animations to your slides. You cannot change or customize them; you can only increase or decrease the level of animation added to your Sway.

Sway is an online, cloud-based software.

Sway works on any device with an internet browser.

You can invite people to view or edit your Sway presentation.

Sway presentations can be shared directly to Facebook, LinkedIn and Twitter.

You can download your Sway as a Word or PDF file to view offline.

There is no password protection available, but you can choose to share your Sway with specific people, anyone with a link or only people in your organization who have a link.

You can view reader statistics for your Sway if you have a Microsoft Office 365 subscription.

The number one presentation software package

I've created innumerable presentations for clients big and small. In my many years of using the product and sending presentations to people all around the globe, I have never once had someone tell me they could not open a file or report any problems with their presentation. It takes some practice to truly master, but once you've spent quality time working with the software you can do some good stuff.

PowerPoint is a straightforward tool for making and showing presentations with an interface that is very much "what-you-see-is-what-you-get." It is also the dominant presentation software, meaning that you will probably never find a client or venue that will have problems with any presentation you created in PowerPoint. It is also rather versatile, allowing users to do far more that slide-based presentations. Users can create online slideshows, clickable infographics, and embed original graphics and videos.

Like all Microsoft products, PowerPoint has it's eccentricities. It could be more user-friendly, which is where some of the competing presentation apps excel. It is absolutely not good for creating original art or illustrations, even though many users seem to think so. If you want original graphics then you should be creating them in some other app (like Illustrator, Photoshop, etc.) and then importing them into PowerPoint.

Reason for choosing Microsoft PowerPoint

The near-universal accessibility of PowerPoint makes it very easy to create presentations that anyone can watch. You don't want a client to have any trouble viewing or using the product, and PowerPoint is great for that.

It’s good for presentations

It’s user friendly. The presentation view works great. Content is very editable.

Sometimes trying to align content is restrictive. The lines are very helpful to guide positioning, but when you don’t want to be inline it’s set up to almost force it. It can take unnecessary extra time trying to adjust content. There are probably ways to turn that feature off that I haven’t looked into. It’s not a big enough issue to not want to use the product.

Sooo much more than presentations

I have used this for years now and probably least for presentations. It is my Go-To program for anything that involves imagery or design, I will try it in here first as it is so user friendly & intuitive. Even print ready artwork(full page magazine), Logo Design, Decisions on Fonts, colours & layouts, Welcome TV Screen Corporate slideshows, the possibilities are endless. There are probably other products which do very specific things better I'm sure, however I wouldn't swap this for any of them.

Is that I can use it in lots of ways that it probably wasnt designed for but works so well at.Creating print adverts (yes, I dont use InDesign or Adobe software) I use this & save as a print ready PDF, I also use it to edit my logos, photography, social media assets, I even created a Calendar on it to send to our customers. Its just much easier to use than some of the other software out there.

Really struggling here as i use it in so many ways. Possibly a simpler way to format selected images within to the same size & aspect ratio, at the moment I have to do this individually but really its not that difficult

Mainly due to how easy & quick it is to use, and for my level of work the quality is absolutely fine
