What is a letter of explanation.

An explanation letter is used to explain particulars of your application that may raise questions or concerns from an immigration officer from Immigration, Refugees and Citizenship Canada (IRCC, formerly CIC). Letters of explanation (LoE) can be used to help immigration officers understand your circumstances to leave the guesswork out of your application. Letters of explanation are important tools at your disposal because it is your responsibility to prove that you are eligible to immigrate through the program of choice.

Is a letter of explanation necessary?

No, a letter of explanation is not a requirement to submit applications to Immigration, Refugees and Citizenship Canada. However, just because it isn't a requirement doesn't mean it isn't helpful to your application. Read below about when to use a letter of explanation.

When to use a letter of explanation?

If you understand the qualifying criteria for your applications and the program objectives, you may be able to identify weaknesses in your application that may raise questions or concerns from the officer. Keep in mind that providing an explanation does not guarantee acceptance by the immigration officer. You will still need to meet all the qualifying criteria of your immigration program and satisfy the officer with supporting evidence. There are various instances when you should submit an LoE but here are 3 common examples:

How to Write a Letter of Explanation (LoE)

In some cases, applicants may be required to provide a Letter of Explanation (LoE) with their application. This may be due to a missing document that could not be given, an incoherence that drew the notice of the immigration official examining your case, and so on. This letter could be needed for many different kinds of applications like Express Entry, a Work Visa, Student Visa, etc.

The LoE is also your means of sharing with immigration officials any additional information that is not on the submitted papers but that you believe is necessary for them to know.

You do not need to explain each supporting document that you are submitting along with your application – only the important parts you may have been missing or were incorrect in the first place.

When Do I Need to Write a Letter of Explanation Canada?

Here are a few situations when you may find a letter of explanation may be needed:

How Do I Write a Letter of Explanation for a Canadian Visa?

Below are some simple guidelines for writing a successful Letter of Explanation:

Remember that your letter will be examined by an immigration agent, not computers, so you will want to write it in a way that will persuade the agent that you have what it takes but just lack this or that piece of paper to prove it.

You will also want to provide any extra proof if it will allow you to build your case – but keep it simple. For example, if your letter of evidence of funds does not include your average account balance for the last six months (as needed), supplement it with bank statements.

How Do I Send a Letter of Explanation?

Make sure the letter of explanation is in the same file format (pdf, docx, etc.) as the document to which it refers. You will want to put the letter on the first page of the file so that it is the first thing the agent reads when they open it. Finally, upload the document normally, on the documents page on your “my application” page, on the “supporting documents” section.

You do not have to merge an LoE with every supporting document you provide along with your application.

Do I Need a Letter of Explanation for a Canada Study Permit?

A Letter of Explanation is not a requirement for most when applying to study in Canada as an international student. Some Designated Learning Institutions require students to submit documents as part of the application process, while others do not.

When applying for a study permit, however, it is recommended that you submit a Letter of Explanation since it gives the immigration officer insight into your goals for studying in Canada.

Your LOE might be the deciding factor in getting you a study visa in Canada.

What About for a Canada Visitor Visa?

For the same reasons above, it is always recommended to submit an LoE with your visa application, but not required.

A letter of explanation (LOE) is a document that an applicant writes to explain more about a certain part of their case. A well-written LOE can be sent to either a border services officer or a Canadian immigration officer, and it should include any information that may be important to the decision-making process.

Why should you write an explanation letter?

LOEs are very important to Canada’s immigration officers because they give the applicant a chance to answer any questions or concerns that may have come up during the assessment process. Some of the reasons to add a LOE are:

Only the applicant who has applied for the visa should write the letter of explanation. Acceptable letters of explanation of circumstances for moving to Canada should not be written on behalf of the applicant by a friend, family member, or representative.

How do I send IRCC a Letter of Explanation?

The easiest way to send a Letter of Explanation (LOE) to IRCC is to upload it along with other documents like a passport, educational certificates, proof of work experience, and other papers in the IRCC portal when submitting. It is best to put the letters of support on the first page of the supporting document, where the visa officer can see them.

If you have already applied, and the explanation was requested later, you can send your LOE to the office that is handling your application by mail or use the web form to send it to CIC.

This is when you think, wow, what the heck is that! Never heard of it.

My friend, let me tell you one thing. You are not alone. I did the same, my friends did the same and almost everybody does the same thing.

If you are still reading this article, you must be thinking why am I telling all these?

Well. In the search of perfect letter of explanation for Canada study permit application, I found none.

I read many of them and all of ’em seemed like some 8th grade essay types which aren’t convincing enough for as powerful thing as Canadian visa application.

I mean sure, if I am doing some kind of primary school application back in my home country, I would surely reference those basic letter of explanation samples written probably in 2005.

( Fun Fact: the level of perfection I (try to) aim in writing, I think I would still not reference them for primary school applications. 😉 )

However, at the time, I was talking about the letter of explanation for studying Masters in Canada, which was a real big deal!

The visa officer needs to feel the letter of explanation is written by a potential Masters degree candidate. If they feel like, I am showing them something copy pasted from internet, it’s a red flag for them to give me rejection.

With that said, if you are already going to spend days and nights on getting your whole Canadian visa application together, you might as well spend 10-15 minutes to read this post.

Because, hey, I drafted this post with a kind of motivation in my mind, which was thought out something along the lines, “I wish a post like this existed for letter of explanation sample when I was doing my Canada student visa application.”

What is Letter of Explanation?

Let me give you a straightforward definition in the context of Canadian visa application. You see Canadian Immigration Embassy wants you to standby your motives and don’t misuse the system they structured. Meaning if they think you are trying to migrate here permanently by means of student visa, it’s concerning for them. To be more clear, if you are coming here as student, they want you to return back to your home country once you are done studying.

Of course, your motives and plans may change after coming here and knowing the Canada as a country better. They don’t have problems with that. Thousands of people come here as students and start working later on which generally and usually gets followed by becoming a Permanent Resident (PR) in Canada. They know this thing for sure by their historical data.

However, even after knowing that, they don’t like the fact that you are using student stream because it’s easy way for you to become a PR. You know what I mean! Wink!

They would love it if you directly apply for PR instead of student visa if your end goal is to become a PR eventually.

I am not an expert in this field, actually no one is (damn! those consultants calling them experts! I hate ’em for ruining people’s lives charging ridiculous money!) . Off-topic over! Sorry about that dear reader!

However, I know this by doing historical data analysis of people who got their visa rejected. With a reason stating, “you won’t leave Canada at the end of your stay” .

I hope not but it might be true that you are on this article after getting rejected with the same reason. Who knows!

How to Write Perfect Letter of Explanation for Canada Visa?

I don’t want to give lengthy explanation on this one as I am going to share my full letter of explanation sample in a while. That will give you better idea instead of mainstream explanation.

However, if not anything, your letter of explanation should address these questions in depth with proper professional sounding language.

Also, I have bank loan sanction letter worth around 25,000 CAD in loan secured particularly for my study in Canada career goal. Additionally, I will be putting my family property documents and bank statements to show the availability of finance just in case I need it.

I have seen that your SOP projects are containing 1700 words! After that I searched in google, they mentioned like SOP for canada study visa can be 3,000-5,000 words because we have to convience the office through that only. There is no defined word limit. Nowhere on CIC website it is mentioned about the length of the SOP. It really differs from case to case. Some people would have 2 pages explanation while some would need 3 pages.

I am talking about word document with font size 11. The SOP we write for our client is generally 3 pages length and covers all the aspects.

We believe there cannot exist a one page SOP or anything more than 4 pages would be too long.

Write a Letter of Explanation for Canada Study Permit

If you are considering studying in Canada, you will need a  study permit . One of the requirements for a study permit is to provide a letter of explanation outlining  your situation  and why you want to  study in Canada . This blog post will provide tips on writing a strong letter of explanation.

In case you are wondering what a  Letter of Explanation (LOE)  is, it is an official document that states your valid reason(s) for choosing to study in Canada. It also clarifies contradictory details in the information you filled in while applying for a study permit.

For example, you can explain why you are just getting post-secondary education as a mature student or why there are two different names in your documents (if you changed your name.)

The  Letter of Explanation is also known as the Statement of Purpose (SOP) or Letter of Intent (LOI) . While we have provided insight on how to write a Letter of Explanation for a Canada Study Permit, we have also included a couple of samples that can guide you in writing yours.

Is the Letter of Explanation Necessary for the Canada Study Permit?

LOE or  SOP  is not a compulsory prerequisite when applying to study as an international student in Canada. However, some  Designated Learning Institutions  demand that students provide the documents while applying to the schools, while some do not.

However, it is advisable to include a Letter of Explanation when  applying for a study permit  as it offers the immigration officer insight into what you aim to achieve by studying in Canada.

Your LOE can be a convincing note to earn your Canadian study permit.

How to Write a Letter of Explanation (LOE)

Your LOE needs to be concise yet as convincing as possible. Immigration and admissions officers at the embassy and schools have many applications to attend. You, therefore, do not want to bore them with long talk.

When officers see a long letter, they might be discouraged from reading it. Therefore, you should keep your LOE short even as you explicitly state your points.

Like every other official letter, there are three essential parts of your Letter of Explanation:

Introduction

Your introduction gives admission and immigration a vague idea of who you are. It should include the following:

You are not providing this information in a list format. Instead, the list is to guide you on the essential details you should include while introducing yourself.

Your work experience should include what kinds of work you did, how long you spent doing them, and your achievements.

You don’t need the following in your Letter of Explanation (unless they are related to your study goals):

If any of these details are related to the content in the body of your letter, you should include them in the body and not in the introduction.

Your age and sex, for example, do not matter to the officer attending to your application. However, if the program you are taking is gender or age-sensitive, as included in the admission prerequisites, you may include that information in your introduction.

The idea is to limit unnecessary information as much as possible, so the reader of your letter gets ready access to the needed details.

The body of your LOE carries the most vital information. It, therefore, needs to be well articulated. However, your sentences should not be disjointed, or the officer will lose connection with your story.

The body of your Letter of Explanation should offer prompt answers to all of the ‘whys’ and ‘hows’ the immigration or admission officers will have if they were to interview you in person.

This part of the Letter of Explanation contains:

#1. Why do you Intend to Study in Canada

Canada is a country just as well as the region you reside in. There are hundreds of higher learning institutions in your country, but you have chosen to reply to none.

There are also other countries with good quality of education that you can study in, but you chose Canada instead.

The officer needs to understand why you did this to be sure you know what it means to study in a country like Canada. You can state your reason in no more than one or two sentences. For example, you could say:

“I wish to study in a peaceful and friendly environment like the one Canada offers.” Or “I will love to gain from the rich mix of cultures available in Canada as this will aid my learning process concerning my program of choice.”

All of your intent should be strongly tied to studying in Canada and nothing more. For example, you will shoot yourself in the legs if you mention how “studying in Canada is a good pathway to  obtain permanent residency  or work permit” as your reason for studying in Canada.

#2. Why you Chose the Institution

In a few sentences, you will mention the qualities that attracted you to the school and the positive reviews you have found about the institution.

You should also be specific on the location of the school and the particular campus you are applying to if there are many campuses. For example, you could include sentences like:

“So and so the school has enough research facilities to promote smooth learning.” and “The proximity of the campus to the Great Lakes can also make my research on the endemic fish species easy.”

#3. Why are you interested in the program

This should not be hard since you understand why you are interested in taking the program you opt for.

Some schools allow you to apply for two programs at a time; if you are doing so, indicate the two programs and state why you are applying. For example:

“After taking preliminary studies in so and so, I became interested in the aspect of art and have decided to take the diploma course on so and so available at so and so college.”

You can refer to your previous education and work experiences. This helps the officer see how much interest you have built in that field over time.

Suppose you are enrolling in a program that follows a different path from your previous education or work experience. In that case, you can also provide valid reasons that have ignited your passion for changing your career path.

#4. How will you Get Support for your studies

You will be asked to provide  proof of sufficient funds  in your a pplication for a study permit . This is important as the officers want to understand how you will cope in Canada as a student far away from immediate family and friends.

In one or two sentences, you can talk about your sponsors and the nature of their jobs. You should also indicate if you benefit from any scholarship or financial aid.

#5. Your Return to your Home Country after Studies

One of the things immigration officers are looking for in your Statement of Purpose is how you will return to your home country after your studies.

Take it or leave it; the officers love to see this part, so you should include it. To reiterate your determination to return to your country, you can mention the work you will return to if you are on study leave or the business you wish to create with the knowledge you gain.

You can also talk about your immediate family, spouse, and children. The goal is that whoever reads your Letter of Intent must be able to perceive your motivation to go back home.

#6. Other Necessary Details

You can include other details that will offer you an edge in your LOE. For example, you should mention how you will be of good conduct as an international student in Canada.

Highlight the commitment you will put in to ensure you maximize your study period in Canada.

You may also include how you plan to cope with work and study as an international student in Canada.

As I mentioned earlier, they also call it S.O.P (statement of purpose), or you can easily say is Study Letter. Letter of explanation is a letter that helps a visa officer to understand you and your goals. It also explains why you want to study in Canada and that you understand your responsibilities as a student.

How to Achieve a Successful Letter of Explanation Canada study permit

So let look at the information that you need to indicate to have a successful Letter of Explanation. Although it may vary from person to person or applicant per applicant.

Introduction

You need to introduce yourself. You need to provide your name, age, highest educational attainment, name of university or college, what was your course or major when you were in university and your work experiences. With your work experiences, you can also indicate what type of jobs that you had, how many years have you worked, and also that achievements that you gained while you were working.

So remember, in this part you need to tell who you are to the visa officer.

Why did you choose to Study in Canada?

There are a lot of countries now that you can go to study, for example, the US, New Zealand, Australia, UK, France and a lot more. So in this part, you need to provide the reason why do you really want to study in Canada. I will give you examples:

First example: So I want to study in Canada because I can benefit from the world class education system that encourages cross-disciplinary studies and the development of transferable skills.

Second example: I enjoy an excellent quality of life, especially with a cost of living which is lower than other countries.

Third example: I want to have an enriching cultural experience. Since Canada is a highly diverse population, resulting in a rich and vibrant cultural scene.

So those are examples of reason why I really wanted to study in Canada. It is advisable for you not to indicate that regarding the residency pathway in Canada, the reason behind that is the application that you will be submitting to the embassy is for you to go to Canada and study. So don’t indicate that you will work after your graduation or after your studies. Focus on the things and informing the visa officer that you will study here in Canada, not anything else.

Why did you choose your school college/university?

You need to answer why you choose your school, College or university. You need to provide the reason why you have chosen your institution. So in this part you need to do your own research. What are the good qualities? What are the positive and good attributes of the school, college or university? You can also indicate the location of your college or university. What are the beautiful places and cultures of the province or the city itself?

Also, if there are different campuses of your chosen institution, you can also indicate what a specific campus you will be so that the visa officer will know that you are really prepared and you really know the environment that you are going to.

Why did you choose your Program?

So once you indicated why you chose your institution, you need to answer the next question. Why did you choose your program? So remember that you need to provide the reason why you have chosen your program or programs. Remember, if you are planning to study in Canada and you have chosen two programs, don’t forget to indicate and give a reason for each event. You can also incorporate the relationship of your past experiences.

For example, indicate when you were still in university or college, your past work experiences, your related jobs or volunteering, so that the visa officer will understand why you chose that specific program. So in this file you can also write in your letter if this program will really help you in the future.

But if you have chosen a program that is different from your past experiences or different from your studies, you need to defend the reason why you are changing your career path.

Who will support your studies?

So in this section, write in your letter, who is supporting you or who is sponsoring you to study here in Canada. For example, if your parents will be supporting you throughout your studies in Canada. In this part, you need to provide some details about your parents. But the documents should be supported, like for example, their employment certificate, if they are working the businesses, assets or even the properties if they have.

Same thing is applicable if it’s your relative that will support you in your education. Provide those documents and details, but you also need to include the proof of relationship and same thing if someone will support you, but not a relative or not your parents. For example, same thing is applicable with your friend or friends of your family or friends of your parents, you will provide those documents and also attach the proof of a genuine relationship with them.

And lastly, if you have a scholarship or a sponsorship from an organization or institution, you need to provide the reason for how did you get the sponsorship. It is better to provide a letter of support or affidavit of support from those people who will be helping you with your education.

Important Information You Need To Indicate In Your Letter of Explanation

Now, let us talk about the most important and most crucial information that you need to indicate that to have a successful letter of explanation.

So for the ties of your home country, you need to provide documents and reasons. You need to assure the visa officer that after you graduated and after your studies, you will return to your home country. The example of these documents are if you have your own business, properties or even any assets that you have, and it is so much better if these documents are with your name. You can also add certificate of employment. So this shows that you really work in your country.

What if you don’t have your businesses, properties or any assets, that will be fine, you can also indicate the family or family member that you will live in your home country, e.g your mother, father or your siblings and also if you are married, your wife, your husband or even child, so you can indicate that you will go back to your home country because of your family or family members.

Remember, your recent of ties of your home country must be sufficiently strong to ensure that you are motivated to return home after your studies in Canada.

You also need to indicate in your Letter of Explanation that you understood all responsibilities and duties as international student, especially if you are working off campus with maximum of 20 hours per week during your academic semester.

Your school must send you a letter of acceptance. Include the original or electronic copy of your letter with your study permit application.

Conditional acceptance and prerequisite courses

If you’ve been conditionally accepted, this means you need to take prerequisite courses. For example, these might be English as a second language or French as a second language courses. You must complete these before you can start your main study program.

If this is the case, we’ll only issue your study permit for the length of those courses plus 1 year. Once you’re accepted into your main program, you’ll need to apply for a new student permit to extend your stay as a student .

If you’re the family member of someone who has a study permit or work permit application that’s been approved in writing before you come to Canada, you don’t need a letter of acceptance.

If you want to study in Quebec for longer than 6 months , you need a Québec Acceptance Certificate (CAQ) issued by the Gouvernement du Québec. Your school can give you all the details on how to apply for the CAQ.

If your application for a CAQ got approved by the ministère de l’Immigration, de la Francisation et de l’Intégration (MIFI), but you’re still waiting to get the CAQ, you can apply for your study permit with the approval letter from the MIFI. You don’t need to wait for the CAQ to apply.

If you plan to study in Quebec for less than 6 months , you can apply for a study permit without a CAQ.

The custodian in Canada must sign the first page, and the parents or legal guardians of the minor child in the child’s home country must sign the second page.

Even if your Letter of Acceptance, or offer letter, has admission conditions that you still have left to complete, you may use your conditional Letter of Acceptance for your study permit application. We do not recommend that you wait to meet the conditions before applying; "full acceptance" letters are not automatically issued.

If you are applying for your study permit with a conditional Letter of Acceptance, add a section to your letter of explanation to explain how the conditions have been or will be met and provide proof if you can.

If you are applying for a study permit from India, Nepal or Bhutan

The instructions for visa offices in India indicate that an unconditional letter of acceptance is required. See important considerations for details.

Undergraduate students: You will receive your Letter of Acceptance or Offer of Admissions by email.

Graduate students:  You can download your Letter of Acceptance, which will be the first page of your admission offer, from  e:Vision , the graduate studies application system. 

Proof of financial support

It is imperative to show strong proof of financial support from yourself and/or your sponsors, such as family members or organizations supporting you. 

Most Canadian immigration officers interpret "evidence of sufficient funds" to mean 4 months of bank statements, savings account passbook, bank drafts, or other proof that indicates you have sufficient funds to cover the cost of 1 year in Canada equivalent to:

Note: students studying for less than a year can provide proof of a minimum of CAD $833 per month for living expenses in Canada. For more details, please see Proof of Financial Support on IRCC’s website .

Below are examples of what you can submit as proof of financial support. Provide as many of them as apply to your situation.

If the balance(s) in any of the documentation above is in foreign currency, provide a screenshot of the  Bank of Canada currency converter  result (if your currency is not listed, use  xe.com ).

If the proof of funds is from another person’s bank account, such as a parent or family member who is sponsoring you, they must provide proof of where their funding is coming from.

Additionally, they must write a letter (preferably notarized) stating that they will support you during your studies in Canada. To write a letter of financial support, they can  download our template  (docx).

Include a summary or an index page of all the documents you are submitting for this section. This will also allow you to clarify or explain the connection between documents, if applicable. You can download a template for the summary  (docx).

Provide a copy of the bio-data page (the page with your name, date of birth, passport number, expiration date, etc.) and a copy of every page of your passport that has stamps, visas, or markings from any country. Most visa offices require copies of your current passport and all expired passports that you have held; be sure to check your visa office instruction guide for the requirements you must meet.

Important : Your study permit will not expire after your passport's expiry date.

If you do not have a passport, apply immediately .

If your passport will expire soon, extend it before you apply for your study permit.

If this is not an option or passport processing time is too long, apply for a study permit with your current passport. After you arrive in Canada, extend your passport and study permit from within Canada.

If you apply for a study permit from outside Canada, you will be required to submit your biometrics (fingerprints and a photo) in-person at a biometrics collection point outside of Canada. 

The time it takes to submit your biometrics is not included in the processing time for your study permit and your application will not be processed until biometrics are received by the visa office. You only need to give biometrics once every 10 years.

American citizens, those who have provided biometrics in the past 10 years, as well as  certain individuals are exempt from providing biometrics.

There are two different kinds of a visitor visa to Canada: the visitor visa, and the parent & grandparent super visa. Super visa is a “special” type of visitor visa where the holder is allowed to stay in Canada for up to 2 years straight. For a typical visitor visa, holders can only stay a maximum of 6 months straight. But both visas are valid for up to 10 years. In this post, I’ll only talk about the visitor visa .

The first thing you should note about a letter of invitation is that it won’t guarantee that your family member or friend’s visa to Canada will be approved. IRCC will assess the person, not you, who’s applying for the visitor visa. It’s your family member or friend’s responsibility to submit proofs that they meet Canada’s immigration laws. And while a letter of invitation is required, it’s not the basis of whether a visitor visa to Canada will be approved or not.

So, there’s no need for you to stress so much about writing one. Just make sure to include all the details required by IRCC and be honest.

Second, writing a letter of invitation does NOT mean that you’re legally responsible for those you are inviting. So for example, if your friend whom you invited comes here as a visitor, and then he overstays illegally, IRCC won’t come after you. Your friend will be the one to pay for whatever fine he needs to settle. But because you’re a good friend, just try to make sure this never happens.

And lastly, you don’t have to prove in the invitation letter that you can financially support the person you’re inviting. You don’t need to show that you’re employed, or how much you’re earning. We did anyway just in case.

But to be clear, it is your family member or friend who should prove to IRCC that they have enough funds to pay for their expenses here in Canada. Even if you write in your letter that you’ll provide for their housing and meals, they need to prove that they have their own money. And that money is enough to pay for their expenses during their visit to Canada. Most importantly, they must prove that they’ll return to their home country and not do anything illegal, like working or overstaying. Otherwise, IRCC might not approve their visitor visa application. 

So, what information should you include when you’re writing a letter of invitation for someone applying for a visa to Canada?

I’m quoting here the exact information from IRCC’s website which you can verify here .

If you’re wondering, “is there a format or template from IRCC that I can use?”. 

I couldn’t find one from IRCC’s website itself. But I’m sharing with you here the actual letter I wrote for my mother when she applied for her visitor visa in December 2019. Her visa got approved after one month. 

But using this letter as your template doesn’t guarantee that your family member or friend’s visa will get approved. Again, as I’ve said already, IRCC will assess the person, not you, who’s applying for the visitor visa. It’s your family member or friend’s responsibility to submit proofs that they meet Canada’s immigration laws.

Hi Hayam, thank you so much for your kind comment 🙂 If your mother is applying for a visit visa, she is the one mainly responsible for her finances here so she should be able to prove to the visa officer that she has enough funds on her own. If you will be supporting her financially, she still has to have money on her own. In this case, you can show proof to the visa officer of your financial condition although as far as I know this is only optional. Do I need to notarize my invitation letter to Canada?

In general, you may never know if the visa office will ask you a notarized copy of your invitation letter. However, it is wise to prepare ahead of time. In some cases, IRCC (CIC) will require you to submit your biometrics as part of your visa application.
